Practical details for exhibitors

Table dimensions

All tables are 30" (76cm) deep and 30" (76cm) high. Standard tables are 6' (1.8m) long. You have 4' (1.2m) of space behind your table.

Exhibit displays

You may only place free-standing displays behind your table. No part of your display may project more than 6" (15cm) beyond the edge of your table. Nothing may be hung or supported from the windows, walls or ceilings behind your table.

Please do not encroach into other exhibitors' space or use any form of projection or sound equipment that interferes with other exhibitors. The organizers reserve the right to require you to remove or make adjustments to any element of your display.

If you have any doubts about what is permissible, please ask ahead of time.

Signage

All tables are draped with a white cloth and have the exhibitor’s name and table number. Table numbers must be clearly displayed on table at all times!

If you wish to represent more than one agency/brand, you must pre-book the option to promote an additional brand. The cost is $250 and includes an additional listing in the show guide, online gallery and Visual Connections directory.

Internet access

We have negotiated a fantastic rate for you for Wireless Internet access: just $100 per computer (compared with $175 last year). This must be booked through us.

Wired Internet acces, which is required for video streaming, must be booked directly with the service provider, Transbeam. Complete and send your order form with payment directly to Transbeam.

Deadline for ordering Internet access: October 1

Costs

  • Wireless (wifi): $100 per computer (Book online)
  • Wired (for streaming video): $250 for one computer plus $75 for additional computers (Download order form)

Please note:

  • Internet access will not be available to you on the day if you do not place your order by October 1st.
  • You must install your own wi-fi card in your computer to utilize the wi-fi service.
  • You will need to bring your own router if you wish to connect more than one computer to the wired service.
  • Visual Connections will email you instructions for wi-fi access before the event.
  • Transbeam will provide onsite technical support throughout the day.
  • Visual Connections will not be responsible for any Internet access issues.

Rentals

All AV rentals must be arranged through the Metropolitan Pavilion’s appointed supplier. This is the venue’s policy, not ours, so if you have any questions, please direct them to Robert Bergdall.

Traffic and food

Attendees at Visual Connections are all verified (to the best of our ability) to be professional picture buyers/researchers. Food and beverage is provided throughout the day for exhibitors and attendees. Attendance peaks around lunchtime (noon to 2pm) and early evening (5pm to 7pm). Beer and wine will be served from 5pm to 8pm.

A limited number of seats and bar tables are provided for attendees to relax and eat. Please avoid using these to conduct lengthy business meetings.

Direct product sales

If you sell any products at the event you assume entire responsibility for collecting any applicable state and local sales taxes and paying them to the proper New York authorities.

Liability insurance

Neither Visual Connections LLC, nor the owners or management of the Metropolitan Pavilion or Indiana Catering, Inc., assume any responsibility for any loss, damage or injury incurred by you, your employees or assigns as the result of your company’s participation at Visual Connections New York on October 12-13, 2009. It is your responsibility to secure proper and adequate insurance to cover any and all such liabilities or eventualities. We strongly recommend General Liability Insurance cover.
